Ashby Cultural Council

Annual Report

The Ashby Cultural Council (ACC) is an eight-member appointed council whose members each serve a three-year term. The Council meets once informally during the summer months to prepare advertising soliciting grant applications and once formally during the fall to review grant applications received. The Council meets at the Lyman Building; meeting dates are posted; and meetings are open to the public. The current Council members and their positions are: Karen Brown, Chairperson; Barbara Landry, Publicity Coordinator; Jim Maloney, Treasurer; Judy Dik, Grant Coordinator; Ginny Bixler, Membership Coordinator; Nancy Lippincott, Secretary; and members Diane Vanvoorhis and Janet Umphress.

Each year, the Council receives money from the Massachusetts Cultural Council for the Arts to be disbursed to approved grant applicants. The amount is determined based on population. This year’s allotment was $3,300.00.

The ACC has been designated this year as a "streamlined" council which empowers us to approve grant requests at the local level without the need for review at the state level. As a result, funds will be released to the successful applicants two to three months earlier this year than in earlier years.

Twenty-one (21) requests for funding were received by the October 16th deadline and nine (9) requests were approved, some at the level of funding requested, some received partial funding. Due to limited funds, difficult choices had to be made.

The Council reviewed each application; of the twelve (12) that were denied, most were "orphan" applications in that there was no apparent link to the Ashby community or Ashby residents and/or the applicants planned on performance space without providing for location or cost of renting suitable space. Other applications that did not receive funding were denied because the Council had either made grants in the past for very similar programs or because the same requesting organization was already receiving funding for other programs in this year’s grant cycle.

The Council received requests totaling $10,025.00. $3,400 in grants was approved, allocating this year’s total allotment and utilizing $100 of funds that were set aside last year to use as discretionary funds (to provide for administrative expenses such as advertising and postage costs or to complete funding where there existed a minor shortfall). News releases were submitted to the local media to announce this year’s grant recipients and all grant applicants were notified of the Council’s decisions.
